A business move that keeps the working week intact

Moving an office is mostly a planning exercise. The lifting is the easy part. The hard part is getting thirty desks, a comms cabinet and years of files out of a building with one goods lift and a fixed loading slot, then having everything in place and labelled before staff arrive. Our office removals in Newcastle are built around that planning.

We work with small teams moving between serviced offices, firms leaving older city centre buildings for newer space, and businesses moving out to trading estates and business parks. The questions are much the same each time. When can you afford to be offline? What does building management require? Who on your side makes the decisions on the day?

This page covers how we plan a commercial relocation, the practical differences between moving in the city centre and on a business park, and what your team can do in advance to make the day shorter.

Office Removals

What an office move with us includes

The parts of a business relocation we take on, so your staff can keep doing their actual jobs.

Out-of-hours scheduling

Evening, weekend and phased moves, so the business can keep trading while the move happens around it.

Site visit at both buildings

We walk both premises, check lifts, loading bays and routes, and agree a written plan with your move contact.

Careful handling of equipment

Monitors, PCs and printers are packed in crates or protective wrap. Your IT team or provider looks after disconnecting and reconnecting.

Floor plan and labelling

Every crate, desk and chair is labelled to a numbered position on the new floor plan, so nothing is left in a corridor.

Desks taken down and rebuilt

Bench desks, pedestals, meeting tables and shelving are dismantled for the move and rebuilt in their new positions.

Working with building managers

We deal with landlords and building managers on loading times, lift bookings and the method statements they ask for.

How we plan office removals in Newcastle

It starts with a site visit at both addresses. We look at goods lifts, loading bays, stair widths, door sizes, the distance from the vehicle to the office, and any rules the building has about when contractors can work. Many managed buildings ask for a risk assessment and method statement before they allow a move, and some only allow loading at set hours. We find this out early so it does not hold things up in the final week.

Then we agree who is responsible for what. Most businesses name one person as the move contact. That person signs off the floor plan, tells staff how to pack their desks and is the one the crew leader speaks to on the day. Moves go wrong when five people give the crew five different instructions, so one decision-maker is worth more than any amount of extra labour.

The plan we send back covers the dates, the crew, the vehicles, the number of crates, the order departments move in and who needs to be on site at each stage. It also lists what we need from you, such as building passes, lift keys and a final floor plan.

Phased and out-of-hours moves

Plenty of firms cannot close for a day. We can move one department at a time, start on a Friday evening and finish over the weekend, or move archive and spare furniture in advance and the working desks last. The right option depends on how much downtime you can take and what both buildings will allow.

IT, servers and specialist kit

We move IT equipment carefully, but we are not your IT provider. Your own team or IT company should power down, back up, disconnect and reconnect systems. Servers and network cabinets often need specialist handling, so plan those with your IT provider first and tell us what is involved.

Moving offices around Newcastle and Gateshead

Where you are moving from changes the job. City centre offices around Grey Street, Collingwood Street and the Quayside are often in older buildings with small lifts, shared entrances and limited room to load on the street outside. Some streets are pedestrianised for much of the day and others have loading restrictions. Check the times with Newcastle City Council and your building manager, and expect a city centre move to take longer per desk than one on a business park.

Newer buildings are usually easier to work in. Newcastle Helix, built on the former Scottish and Newcastle brewery site in the city centre, has modern offices with goods lifts and managed access, but that also means booked slots and site rules to follow. Business parks such as Cobalt in North Tyneside and the Team Valley Trading Estate in Gateshead normally have good vehicle access and parking, so the focus there shifts to the size of the site and finding the right entrance and unit.

Newcastle city centre is also inside a Clean Air Zone that charges vans and lorries which do not meet the emissions standard. It is reasonable to ask any removals firm quoting for a city centre move whether their vehicles comply, and whether any charge would appear on the invoice.

Getting your team ready for moving day

The best office moves are the ones where staff know exactly what is expected of them. A week or two before, send round a short note covering what to pack, how to label it and what to leave on the desk. Give each person crates, labels matching their new desk number and a clear deadline. Personal items should go home or into a marked crate, not loose in a drawer.

Use the move as a reason to clear out. Old files, broken chairs and dead equipment all take time to move. Confidential paper should go to a shredding company that issues a certificate of destruction, and old electrical equipment needs disposing of under the WEEE rules. Sort both before moving day rather than asking the crew to work around them.

Some firms prefer everything packed for them, including filing, kitchens and reception. Our packing services can take that on, which is often worthwhile for archive rooms and shared areas that nobody on the team feels responsible for.

If new furniture is arriving at the new office, or you are reusing desks and meeting tables that need to come apart, we can run the furniture assembly and disassembly alongside the move so the floor is set up in one go.

  • Pack desk drawers and personal items into the crates provided
  • Label every crate with your name and new desk number
  • Leave monitors and PCs on the desk for the crew to pack
  • Take valuables, keys and medication home
  • Clear the tops of filing cabinets and cupboards

Smaller business moves, costs and quotes

Not every commercial move is a full office. Plenty of small businesses need a few desks, a filing cabinet and some stock moved between units, or one room cleared from a shared workspace. For that size of job our man and van service is usually a better fit than a full crew and lorry.

Shops, salons and small clinics bring their own problems: display fixtures, heavy equipment and opening hours that cannot slip. We handle them the same way as offices, with a site visit and a written plan that shows when you will be ready to trade again.

Office move pricing depends on the number of workstations, the volume of files and stock, access at both buildings, whether the work happens out of hours, and how much packing and dismantling is needed. Our page on removal costs goes through each factor. For a quote, send us details of both buildings along with your preferred dates.

If you are moving staff out of the city centre to Gateshead or across to North Tyneside, ask about access at the new site early, because business parks often have their own delivery rules and gatehouse arrangements.

How it works

How an office relocation runs

  1. Site visit and brief

We visit both buildings, meet your move contact and note lifts, loading bays, access times and building rules.

  2. Written plan and quote

You get a plan covering dates, crew, vehicles, crates and the order of work, along with the quote.

  3. Crates and labels

Crates and labels arrive ahead of the move. Staff pack their own desks and label them to the new floor plan.

  4. The move

Usually out of hours. We dismantle, load, move and rebuild, working floor by floor or team by team.

  5. Set-up and walk round

Crates go to numbered desks, furniture is placed to plan, and your contact walks the floor with us before we leave.

FAQs

Office Removals: common questions

Straight answers to the things people ask us most.

We cover Newcastle upon Tyne and the surrounding areas, including Gateshead, Sunderland, Durham, Jesmond, Gosforth, North Shields, Whitley Bay and Cramlington.

Can you move our office over a weekend?

Yes, weekend and evening moves are common for businesses that cannot close, and many buildings prefer contractors to work outside office hours anyway. The catch is that building managers, lift engineers and your IT provider all need to be available at the same time, so book everyone together. Some buildings charge for weekend access or security cover, so ask your landlord.

How long does an office move take?

It depends more on access than on size. A small team on a ground floor with parking outside can often be moved in a day. Twenty or thirty desks coming out of an older city centre building with one small lift may take a full weekend. The site visit is where we work this out, and the plan shows realistic timings for each stage.

Do you disconnect and reconnect our computers?

We pack, move and place IT equipment, but disconnecting, backing up and reconnecting should be done by your own IT team or provider. They know your setup and are responsible for it. Most businesses book their IT provider to be at the new office as equipment arrives, so problems are sorted before staff come in on Monday morning.

How should we deal with confidential files?

Files you are keeping can travel in lidded crates, sealed and labelled, and kept together on the vehicle. Files you no longer need should go to a shredding company that provides a certificate of destruction. Do that before moving day, because carrying boxes of paper to a new office only to shred them later is wasted time and money.

What does our building manager need from a removals company?

Commonly a risk assessment and method statement, vehicle details, a named contact on the day and proof of public liability insurance. They may also want a lift booking, protection for floors and walls in common areas, and a set loading window. Ask both landlords for their requirements early, as some take several days to approve contractors.

Can you move us from the city centre to a business park?

Yes, and it is one of the more common business moves around Newcastle. Access at places like Team Valley or Cobalt is usually easier than in the city centre, so most of the time goes on the city end of the job. Check the new site for its own delivery rules, entrances and parking, and send us the details before the site visit.
